Equinox Travel: Terms & Conditions
It is the passenger’s responsibility to understand the following terms and conditions. By booking travel with EQUINOX TRAVEL the passenger agrees to accept all terms and conditions. All passengers/clients will sign a form agreeing to the Terms and Conditions.
PAYMENTS
EQUINOX TRAVEL and/or its Tour Operators/Suppliers accept the following payments under certain conditions:
CHANGE AND CANCELLATION POLICY:
All payments are non-transferable and non-refundable (unless otherwise noted). All bookings are subject to a deposit and cancellation policy. All land/airline itinerary changes may incur additional costs. For air, change penalties vary according to the terms of the Tour Operator/Airline. Please note for group bookings, terms and conditions may vary and will be supplied at the time of booking.
TRIP PROTECTION
Trip Protection and cancellation insurance is STRONGLY recommended. EQUINOX TRAVEL does not sell travel insurance. Certain tour operators offer Travel Protection Plans when booking their land/air tour. Please refer to their specific terms and conditions. No representation or description of the insurance made by EQUINOX TRAVEL constitutes a binding assurance or promise about the insurance.
REFUNDS FOR UNUSED SERVICES
No refunds will be made for unused services or vouchers once travel arrangements have commenced.
TOUR OPERATOR LAND/AIR ARRANGEMENTS
EQUINOX TRAVEL is not responsible if an airline cancels, reschedules, or delays a flight for any reason. If you miss your departure flight, it is your responsibility to work with the airline on which you are ticketed to reach your destination. EQUINOX TRAVEL is not responsible for any additional expenses you may incur before joining your trip. EQUINOX TRAVEL is not responsible for and will not provide any refund for portions of trips missed due to canceled, rescheduled, or delayed flights.
TRAVELERS WHO NEED SPECIAL ASSISTANCE
Any passenger disability requiring special attention must advise EQUINOX TRAVEL at the time the reservation is made. EQUINOX TRAVEL will make reasonable attempts to accommodate the special needs of disabled travelers, but is not responsible in the event it is unable to do so nor is it responsible for any denial of services by air carriers, hotels, restaurants, or other independent suppliers. The Americans with Disabilities Act is only applicable within the United States and facilities for disabled individuals are limited outside its borders. Most transportation services are not equipped with wheelchair ramps. We regret that we cannot provide individual assistance to a client for walking, dining, getting on and off buses and other vehicles, or other personal needs.
TOURS
Tours can be fast-paced often requiring extensive walking with stairs and on hill/grades, uneven cobblestone streets, and walkways/sidewalks. Please be sure that at the time of booking that you understand the risks as EQUINOX TRAVEL cannot be responsible for injuries occurred due to the above-mentioned issues.
PRICES/CHANGE FEES
Airlines and cruises are subject to supplemental price increases that may be imposed by the tour operator/supplier and/or government after you have completed your purchase. Change fees and price increases may be changed for trips that have a change of date and/or itinerary. All prices listed herein are subject to change. PLEASE NOTE:
VISAS & PASSPORTS
Passengers are responsible for obtaining and paying for all visas and entry documents, for meeting all health and other requirements, and for any documents required by the laws, regulations, orders, and/or requirements of the countries you will visit. Non-U.S. citizens must consult with appropriate consulates to determine if any visas are needed and are responsible for obtaining all visas and entry documents independently. EQUINOX TRAVEL is not responsible for providing you with specific visa and passport information or documentation and EQUINOX TRAVEL cannot accept liability for any passenger refused entry onto any transport or into any country due to failure of the passenger to carry correct documentation. All passengers traveling internationally are required to have a passport. Passports are required to be valid for at least 6 months beyond the dates of travel. Some countries require a full blank page in the passport for stamping purposes. It is your responsibility to verify all visa and passport requirements.
ACCOMMODATIONS
Hotel rooms in some international countries are typically smaller and less standardized than those in the United States and do not always offer air conditioning and other amenities. Please note that a “twin room” generally includes 2 twin beds placed side by side. Single rooms often only include one twin bed and are smaller than twin-sized rooms. Please note that accommodation check-in times vary worldwide. Hotel check-in is usually not possible before 3:00 p.m. local time. Check-out times vary - check with each hotel at the time of check-in. At times, a hotel may overbook and a room may not be available at check-in. EQUINOX TRAVEL is not responsible for this issue and is beyond our control. The hotel should make arrangements to secure accommodations at a similar hotel.
CAR RENTAL INFORMATION
Car rental terms and conditions will be provided by the tour operator.
BAGGAGE ALLOWANCE
Airline baggage allowance and information will be provided by the tour operators. No responsibility is accepted for loss, damaged, or delayed baggage or any of the passenger’s property.
EXCLUSIONS
Certain fees which are not included in your trip may be the following: passports; visas and vaccinations; tips to your Tour or Cruise Director, Local Host, driver, Local Guides, laundry; telephone; minibar; alcohol, beverages, and food outside of the contracted tour operator menu as presented at a hotel or restaurant (these extra items will be billed to you before leaving the hotel, or restaurant); optional excursions; airport transfers on non-qualifying flights; porterage at airports and train stations; Travel Protection premiums; excess baggage fees; and all other items not specifically mentioned.
REFUNDS
The EQUINOX TRAVEL reserves the right to determine eligibility for requested refunds. All claims for refunds must be submitted in writing within 30 days of the end of the travel date.
RESPONSIBILITY
Payment of the trip itinerary constitutes consent to all Legal policies and terms and conditions described herein. Neither EQUINOX TRAVEL nor any mentioned or unmentioned subagents/affiliates shall be held responsible for any personal injury, property damage, or other loss a passenger incurs on any tour arising from acts or omissions by any air carrier, public transport company, hotel, car rental company, tour operator, supplier, subcontractor or other person or organization, whether or not such company is rendering any services supplied on the tour. All tickets and vouchers are issued and supplied subject to the foregoing and to any terms and conditions under which transportation and services are provided. EQUINOX TRAVEL accepts no responsibility for losses or expenses due to delays or changes in schedules, flight cancellations, or misconnections due to mechanical problems, sickness, quarantine, weather, acts of God, strikes, government actions, war, terrorism, or other circumstances beyond its control. EQUINOX TRAVEL is not responsible for acts or omissions of the Tour Operators/Suppliers or their failure to provide services or adhere to their own schedules. Passengers must bear all such losses or expenses. To guard against unforeseen circumstances, we STRONGLY recommend you purchase travel protection insurance. EQUINOX TRAVEL reserves the right to alter prices at any time before departure and without prior notice if circumstances so warrant. Any devaluation or revaluation of currencies may affect published prices.
LIABILITY DISCLAIMER
The information, products, and services published on EQUINOX TRAVEL’S website may include inaccuracies or typographical errors. Changes are periodically made to the information which appears therein. The content of the site is not guaranteed to be complete, accurate, or available and may be changed at any time without notice. EQUINOX TRAVEL may make improvements or changes on their website at any time. In no event shall EQUINOX TRAVEL be liable for any direct, indirect, punitive, incidental, special, or consequential damages arising out of, or in any way connected with, the use of EQUINOX TRAVEL’S website, or for any information, products, and services obtained through their web site, or otherwise arising out of the use of their website.

You agree that the courts in Middlesex County, New Jersey will be the exclusive jurisdiction for all claims brought by you or EQUINOX TRAVEL, and you hereby submit to the personal jurisdiction of those courts.

- Air routings are subject to availability. Routings/flight times are not guaranteed and are subject to change at any time.
- If you make your own flight arrangements, EQUINOX TRAVEL will not be responsible for any loss resulting from cancellation or changes in gateways or travel dates.
- Escorted Tours departures are not guaranteed unless specified by the Tour Operator and EQUINOX TRAVEL assumes no responsibility when an escorted tour is cancelled.
